1. Advance Payment Policy
- All bookings require an advance payment to confirm the service.
- Advance payments are strictly non-refundable under any circumstances.
- This includes cancellations by the customer, change of plan, travel delays, or any situation beyond our control.
The advance amount is used for vehicle reservation, driver scheduling, operational arrangements and cannot be reversed once processed.
2. Customer Cancellation Policy
If the customer cancels the booking:
- No refund will be issued for the advance amount paid.
- If any additional amount was paid beyond the advance, only the remaining balance (after deducting applicable charges) may be refunded, subject to conditions.
- Cancellations made after the driver has already been assigned or has started towards the pickup location will incur additional charges based on distance covered.
3. Last-Minute Cancellations
- Cancellations made within 4 hours of the scheduled pickup time will be treated as a full cancellation, and no refund will apply.
- For early-morning pickups (6 AM or earlier), cancellations must be done by 10 PM the previous night.
4. Operator / Service Provider Cancellations
If Agra Carvia or its service partners cancel the booking due to unavoidable reasons such as:
- Climatic conditions
- Vehicle breakdown
- Driver unavailability
- Government restrictions
- Technical or operational issues
Agra Carvia will:
- Provide a similar alternative vehicle whenever possible, or
- Refund the booking amount excluding the non-refundable advance
No additional compensation shall be provided.
5. No-Show Policy
If the customer is not reachable or not available at the pickup location:
- It will be treated as a No-Show, and no refund will be issued.
- Waiting charges may apply if the driver waits beyond the allowed time.
6. Partial Payments and Adjustments
If the customer has made part payment (advance + balance):
- The advance portion is non-refundable.
- Any balance amount may be refunded after deducting:
- Driver travel charges
- Toll / parking (if applicable)
- Cancellation or administrative fees
7. Refund Processing Time
Eligible refunds (if any) will be processed within 7–10 business days after verification.
Refunds will be issued only to the original payment method used.
8. Distance Calculation Policy
As per company policy:
- Kilometers are calculated Garage to Garage,
meaning the total distance is counted from the vehicle’s starting point until it returns to the garage.
9. Acceptance of Policy
By booking with Agra Carvia, the user confirms that they have read, understood, and agreed to all terms stated in this Refund & Cancellation Policy.
